Writing a Leave application for School is an important skill for both Parents and Students. So whether you are writing a School leave application as a parent or for your self as a student, you must keep in mind these important points. The leave application should be brief and precise, subject should be clear, and most importantly the tone should be polite and respectful.
A leave application is an important document required to ensure smooth and professional working. It is important for the institution to be fully informed to maintain discipline and an efficient environment in the institution. A formal leave application is required to maintain complete records for future reference. Wherever possible the leave application should be given in advance. This pre information allows the institution to plan better and work efficiently. It also shows respect for the institution and it’s rules and guidelines.
Guidelines for leave application
Briefly, the following broad guidelines need to be kept in mind while writing the Leave application:
- The leave application should be clear and brief without digressing from the main issue.
- Subject should be clearly mentioned at the beginning of the leave application.
- The first paragraph should give complete details of the reason and the time period of leave.
- The second paragraph can give supplementary information if required.
- Close with a respectful salutation giving your full details.
Leave Applications: Reasons & Rules
Leave applications can be for various reasons such as sick leave, emergency leave, personal leave, family responsibilities etc. Based on the broad structure mentioned above let us look at each guideline in detail.
1. A leave application should begin with the date, followed by addressing the application to the School mentioning the complete address followed by a salutation. The leave application can be addressed to the Teacher or Principal or Administrative head as the case may be. The language and tone of the application should be formal showing respect for the person and the institution being addressed.
For example:
10 March 2025
Eklavya School Jalandhar
Nakodar Road
Jalandhar 144003
Respected Principal
In case the application is sent through email instead of being written on paper we may directly start with the salutation and omit date and address.
2. The Subject line should be clearly mentioned after the salutation and should mention the purpose of the leave application or email. The Subject line should mention whether it is a sick leave, emergency leave, personal leave or family responsibilities etc.
For example:
Subject: Application for sick leave.
In case of an email the purpose of leave should be mentioned in the Subject line.
3. The first paragraph of the leave application is the most important part of the application. It states the reason for seeking leave and the time period of the leave. Reason could be sick leave due to fever, or an emergency leave for a transport /.vehicle breakdown, or personal leave for important Bank work which cannot be postponed, or family responsibilities such as a wedding etc.
For example:
10 March 2025
Eklavya School Jalandhar
Nakodar Road
Jalandhar 144003
Respected Principal
Subject: Application for sick leave.
I request that I may be granted leave for two days from 10 March to 11 March 2025 since I have fever and doctor has advised medication and rest.
The first paragraph remains identical even if the leave application is emailed since it states the exact reason for leave application and clearly states the duration of leave.
In case the duration is not clear, it is still important to indicate the anticipated time period. Any pending details should be clarified through follow up letter or email.
For example the follow up application may contain as follows:
Respected Principal
Subject: Application for extension of sick leave
I request that I may be granted sick leave of one more day for 12 March 2025 in addition to the two days sick leave already granted through my leave application dated 10 March 2025. My fever is receding and doctor has advised rest for one more day.
4. Sometimes supplementary information may be required for purposes of official records or for clarity. In case of sick leave you may need to mention a medical certificate and attach the same. In case of an emergency you may need to elaborate on the exact details for clarity and better understanding of the authorities. It further helps to resolve the abrupt and sudden nature of leave application.
For example in case of family responsibilities and commitment you may need to add a second paragraph of explanation:
I request that I may be granted leave for one day, 10 March 2025, due to family responsibilities and commitments.
Being the only son of my parents, I need to accompany my aged father for a family function which he greatly desires to attend. I request that my leave may be granted favorably.
5. Close the leave application with a respectful salutation giving your name and other relevant details. As a parent you may need to mention your name, ward’s name, class and roll no. In the case of a student you need to close politely and respectfully. If required you may need to add contact details where you can be contacted as and when required.
For example you may close as follows:
Yours dutifully
Sunil Arora
Parent of: Sahil Arora
Class: 5 Section: A
Roll no: 1
(M) 1234567890
Conclusion
In conclusion it is important to understand the need for a leave application that is well written and respectfully explains the purpose and duration of leave. Wherever possible the leave application should be given in advance to ensure proper discipline and efficient working. The structure of the leave application should be followed to convey professional and systematic working.
